Three teams, three answers
Picture a customer request moving from sales to operations to support. Each team has a different understanding of when its responsibility ends. The customer receives three answers, and employees spend the afternoon asking one another who should respond.
Follow the request
I would trace one request from intake to completion and mark every decision, owner, handoff, and waiting period. I would also ask each team to describe the process independently. The differences between those descriptions often reveal the real problem.
Make accountability visible
The redesign would identify one owner at each stage, define a clear trigger for handoff, establish an escalation route, and create one shared source of status. A simple responsibility matrix and an agreed response standard can be more useful than adding another communication channel.
Avoid the meeting trap
More status meetings rarely repair an unclear workflow. I would first improve the information employees can see and the decisions they are authorized to make.
The lesson
Cross-functional communication improves when the process answers who owns the next step before anyone has to ask.
